PRIVACY POLICY
Effective Date: March [x], 2025
NorthRock Church ("we," "our," "us") values your privacy and is committed to protecting your personal information. This Privacy Policy outlines how we collect, use, store, and safeguard your data in alignment with our mission to serve our church community. It also details third-party integrations, security measures, and your rights regarding your information.
1. Information we collect
We collect personal information to support church operations, enhance engagement, and facilitate ministry services. This includes contact details such as name, email, phone number, and mailing address for communication and mailing purposes. We also gather event registration details, volunteer scheduling information, and prayer requests submitted voluntarily. For financial transactions, contributions, and tithes are securely processed through SecureGive.
Additionally, we collect and store children’s data, including name, birthdate, and parent or guardian contact details. This information is used for programs such as KidzRock, child dedications, baptisms, event registrations, and weekend check-ins to ensure a safe and structured experience.
We do not sell your personal information. Your data is only used to facilitate church operations and communications, and we take every precaution to keep your information secure and private.
2. HOW WE USE YOUR INFORMATION
We use collected data to facilitate church-related communications such as emails, newsletters, and text messages. It helps us coordinate events, manage volunteer schedules, process prayer requests, and ensure the safety of children in our programs. Contributions and tithes are processed securely, and church engagement is enhanced through strategic use of third-party services.
Importantly, we do not sell, trade, or otherwise monetize your personal information. Your data is solely used for church operations, communications, and ministry services. We take every effort to protect your information and use it responsibly to further our mission.
3. managing communication preferences
Individuals can manage communication preferences through Planning Center Online (PCO) by adjusting their account settings. If assistance is needed, updates can be requested by emailing nradmin@northrocksa.com. While PCO provides some options for communication management, individuals may need to reach out for further adjustments, including unsubscribing from specific forms of outreach such as emails, texts, or phone calls. Our team is available to manually update preferences upon request.
4. WEBSITE & DIGITAL DATA COLLECTION
We do not currently track cookies or other browsing data through our website. However, we may collect certain information related to your interactions with our website for the purpose of improving user experience. 6. third-party data sharing
We may share your information with trusted third-party services to facilitate church operations. These partners have their own privacy policies, and we encourage you to review them for more details on their data practices. Our third-party partners include:
- SecureGive – Tithes and donation processing
- Brushfire – Event check-ins
- Mailchimp – Email communications and newsletters
- Serve HQ – Volunteer onboarding
- Planning Center Online (PCO) – Church database management
These platforms operate with secure protocols to ensure data integrity and privacy. However, NorthRock Church is not responsible for the privacy practices of these third-party platforms. Importantly, we do not sell your data to third-party companies. We share data only for operational purposes, ensuring it is handled securely by trusted partners.
7. photo & video consent
NorthRock Church regularly takes photos and videos during weekend services and events across all campuses. This includes but is not limited to weekend services, baptisms, off-night events like Child Dedication, KidzRock Conference, Party Like A Rockstar, Team Night volunteer nights, Big Wednesday, Heavenly Women’s Conference, Serve Day, and other church events. These images and videos may be used for social media, promotions, or livestreams to showcase church activities and community life.
If you do not wish to be photographed or filmed, please notify us in advance. You can email us at nradmin@northrocksa.com with your preference, and we will make every effort to respect your wishes. For those who prefer not to be included in event media, we encourage reaching out before the event or service to ensure accommodations are made.
Since we have a large congregation, we may not always be able to personally identify individuals who wish to opt-out on the day of an event. By attending, you consent to being photographed or filmed unless we receive prior notice.
If you have been photographed or filmed and wish for your image to be removed from any church media, please contact us at nradmin@northrocksa.com. While we cannot guarantee the immediate removal of all images or videos, we will make reasonable efforts to honor your request and remove content from future promotions or social media posts.
8. parental consent for children's data
We require explicit parental or guardian consent before collecting or storing children's information. This consent is obtained when registering a child for church activities, check-ins, or events. If at any time a parent or guardian wishes to update or remove their child's data, they may contact nradmin@northrocksa.com to make such a request.
Children’s data is securely stored within our systems, and access is restricted to authorized church staff managing family ministries. We take extra precautions to protect children's data and ensure its confidentiality.
9. data breach policy
In the event of a data security incident, we will take immediate steps to assess the breach, notify affected individuals if necessary, and enhance security protocols to prevent future occurrences. Your privacy and data security are of utmost importance to us, and we are committed to safeguarding your personal information.
10. data retention policy
Personal information is currently retained indefinitely, unless a removal request is submitted. We are actively working on a formalized data retention policy to align with best practices. We may update or modify this Privacy Policy as necessary to reflect changes in our practices or legal requirements. All updates will be posted on this page with an updated "Effective Date." We encourage you to periodically review this policy to stay informed about how we are safeguarding your information.
12. your privacy rights & contact information
You have the right to access, update, or request removal of your personal information. If you have questions or need assistance regarding your data, please contact us at nradmin@northrocksa.com.
This Privacy Policy is subject to periodic updates to reflect any changes in our data practices. We encourage you to review this page regularly for the latest information.
